Risks
A Risk is the potential that a circumstance could arise that alters the outcome of a project, objective, or work item. Risks are tracked at the team level and within Planning Intervals.
Every risk has:
- Summary and optional Description
- Team — The team the risk belongs to, chosen when the risk is created; it cannot be changed afterwards
- Reported By — The employee who identified the risk: you, when you create it
- Reported On — When the risk was identified: the moment it was created
- Status — Open or Closed. A new risk is Open; change it with Edit
- Category (ROAM) — How the risk is being handled:
- Resolved — The risk has been eliminated; no further action needed
- Owned — Someone is actively managing the risk
- Accepted — The risk is acknowledged and accepted as-is
- Mitigated — Actions have been taken to reduce impact or likelihood
- Impact — Severity if the risk materializes (Low, Medium, High)
- Likelihood — Probability the risk will occur (Low, Medium, High)
- Exposure — Automatically calculated from Impact + Likelihood:
| Low Impact | Medium Impact | High Impact | |
|---|---|---|---|
| Low Likelihood | Low | Low | Medium |
| Medium Likelihood | Low | Medium | High |
| High Likelihood | Medium | High | High |
- Assignee — Person responsible for managing the risk
- Follow-Up Date — When to review the risk next
- Response — Planned mitigation actions
- Closed Date — Automatically set when status changes to Closed, and cleared when the risk is reopened
Where Risks Appear
Risks are visible in multiple places:
- PI Risks section — The risks of the PI's teams that were reported before the PI ended and not closed before it started. Open risks only, unless Include Closed is switched on. Grid columns: Key, Summary, Team, Category, Exposure, Follow Up Date, Assignee, Reported On, and Status while closed risks are included. Hide Team removes the Team column.
- Team Risks section — Risks for a specific team, with the same toggle and create capability.
- Plan Review — Within each team's view during PI planning ceremonies.
- Home — My Assigned Risks lists the open risks assigned to you, with their follow-up dates. It shows only when you have some.
Risk Detail Page
Each risk has its own page, with two sections:
- Risk — The ROAM category, highlighted among the four; the Description and Response; and an Evaluation matrix placing the risk by impact and likelihood
- Activity — The risk's recorded history
The risk's exposure shows as a tag beside its name. The details panel shows the Assignee, the Follow-Up Date — with how many days remain, or how many days it is overdue, while the risk is open — Reported By, Reported On, Closed, and the team. Edit changes everything but the team.
Common Tasks
Creating a Risk
- Navigate to a PI's Risks section, or a team's Risks section
- Click Create Risk
- Choose the Team and enter Summary, Category, Impact, and Likelihood
- Optionally add a Description, an Assignee, a Follow Up date, and a Response
Creating a risk needs the Create Risks permission and your account to be linked to an employee, since the risk records who reported it. Changing one needs Update Risks.
Managing Risks
- Update Category as risk handling evolves (e.g., from Owned to Mitigated)
- Update Status to Closed when the risk is resolved — the Closed Date is set automatically
- Use the Follow-Up Date to schedule periodic reviews
- Use the Include Closed toggle to review historical risks
- Open a risk's Activity section to see how it was handled over time: edits, ROAM category changes, reassessments, reassignments, follow-up dates, and when it was closed or reopened. See Activity Log.
